WEB Site Policy

The Quorum Website poses little or no real risk of the abuse of personal information. However, the club do take the storage of personal information seriously and endeavour to protect it by reasonable and cost effective means.

The Quorum WEB site, www.QuorumSocialClub.co.uk consists of a publicly accessible area, and a Web Calendar area. The public area is intended for general advertising and information about the Club. Personal information, including full names, telephone numbers and addresses will not be included in this are without prior consent from the person concerned.

Web Calendar

The Web Calendar is advertising the clubs events, and also providing additional contact details to our members.

This Web Calendar includes information about current and past club events, so may include the names of people who have since left the club. Historic calendar entries will typically be deleted once they are between one and two years old.

In order to access contact details about an event, a member must first login with their user account, unique user ID and password. Accounts are not shared, so that information entered in the calendar is logged.

Personal Data

Many of the clubs activities including badminton are restricted to members. Also, the club's insurance require that members be identified. Therefore it is necessary for the club to maintain a list of members, which will be held in electronic form (e.g. as a database, document or spreadsheet).

Members name and telephone numbers will be made available to members for the purposes of carrying out the clubs activities. This includes distribution of the Diary Sheet by either postal mail or e-mail.

Data for members retiring from the club will be removed within 24 months of the membership renewal date (typically much sooner).

The club do not store sensitive personal data such as political and religious beliefs, as defined in section 2 of the 1998 Data Protection Act, either on the WEB site or elsewhere If such sensitive personal data is found on our registers, it will be removed as soon as is reasonably possible.

Member's lists will be held in an area of the WEB restricted to members. Data will not be held in the public area of the WEB site without a members prior permission.

Security

Various security measures will be taken to ensure that personal data is secure. Access to the web server, mailing lists, calendar admin's etc are all protected by user IDs and passwords.

System accounts provide access to all areas of the WEB site, and as such require special consideration. System passwords will be cryptic (i.e. not an English word).

System passwords will not be divulged to non-committee members, other than Web administrator and support staff.

WEB Updates

We will endeavour to keep information on the WEB as up to date as possible. However, some updates may take up to a month to complete, so please allow reasonable time.

Members may submit their pictures, video or other content to be included on the web. Such pictures and video should be of Quorum events and be of a non-personal nature. Members may also submit a link to their home page to be included on the links page.

The information to be included on the WEB will initially be decided by the WEB administrator. In the case of any disputes, the committee's decision is final.
